‘ASM Global’ stated that the 50,000-capacity Kai Tak Sports Park is a multipurpose sports venue that is being built at the site of the former Kai Tak Airport in Kowloon, Hong Kong. The sports park will be located on the North Western part of the old Kai Tak Airport, where some of the parking stands used to stand. When it opens, the Kai Tak Sports Park will become the largest sports venue in Hong Kong and will provide high quality sports facilities to support the future sports development of Hong Kong.

The Kai Tak Sports Park Limited (KTSPL) has been awarded the contract for the design, build, construction, and operation of the Kai Tak Sports Park.

With an area of around 28 hectares, the Kai Tak Sports Park anchors the redevelopment of the former airport site, and offers a world class destination for all interests.

Once completed, the Kai Tak Sports Park will be the most important sports infrastructure development in Hong Kong, and will help achieve three broad objectives – to promote sports in the community, to support elite sports and to make Hong Kong a hub for major international sports events.

The Kai Tak Sports Park will provide venues for international competitions and large-scale sports events, quality public sports facilities, a leisure park, retail and dining outlets, and a wellness center for the enjoyment of athletes and the general public. In addition to hosting a wide range of top-level sports events, the Kai Tak Sports Park helps address the demand for venues to hold entertainment and other large scale community events.
 

Role Requirements

‘ASM Global’ further stated that the General Manager of Event Services is the lead role in planning, monitoring and delivering events and guest services across the precinct. While focus will be on events at the Main Stadium, Indoor Sports Centre and Public Sports Ground, events will also take place at other locations across the precinct including the Event Village and Main Plaza.
 

Key Responsibilities

  • Leads and directs the Event Services team to ensure success across all areas of event operations;
  • Works with the Commercial Department and sales teams to ensure the smooth handover of events from the acquisition stage to the event planning and delivery stages;
  • Meets with clients, advises them on the facility requirements and negotiates sales of additional services;
  • Champions the customer experience, mapping out the customer journey and working with other departments continuously seeks ways to surprise and delight clients and guests;
  • Maintains the proper image and generates positive public relations with clients, guests and staff;
  • Provides key input and leadership to assist the Ticketing team and contracted ticketing partner in ensuring event builds, manifests, on-sales and ticket processes are smooth and aligned to the operational delivery of events as well as meeting and exceeding client and guest expectations;
  • Co-ordinates with the Food and Beverage team to ensure appropriate service standards are aligned with overall event delivery;
  • Works with the Food and Beverage team and Commercial Department to commercially optimize non-event day functions and Meetings, Incentives, Conferences and Exhibitions (MICE) events at the venues function spaces, suites and lounges;
  • Co-ordinates with the Safety and Security team to ensure all appropriate safety and security measures are in place for events;
  • Works with internal service partners to provide quality service to clients and guests;
  • Serves as liaison for clients to ensure highest level of service from all external service providers;
  • Treats workplace health and safety as a priority. Works with external service providers and contractors of clients to ensure activities such as production set-up and rigging are legally compliant and in accordance with the venue operating procedures;
  • Becomes a super user and role model in the implementation and use of the selected Event Booking Management System, Venue Booking System and customer relationship management (CRM);
  • Ensures that venue set up for events is planned and delivered to clients expectations, including scheduling bump in/bump out;
  • Where needed, coordinates the implementation of the event control room. Co-ordinates and runs briefings with police, fire, ambulance, security, cleaning, ticketing, food and beverage, tenants, and other parties as required;
  • Ensures appropriate event documentation is prepared and produced for every event;
  • Researches, reviews and recommends equipment, materials and supplies required in providing event services and planning;
  • Liaising with event organizers as required, ensures that the accreditation process are in place for all required functional areas of the venues;
  • Prepares schedules and assigns events to the Event Services team members;
  • Prepares Event Services departmental budget and estimated revenues for review by the Director (Operations);
  • Prepares reports of monthly event activities for submission to the Director -Operations and the Executive Director;
  • Works extended/irregular hours including nights, weekends and holidays, as needed;
  • Represents the facility at trade shows, community events and industry meetings;
  • Develops policies and procedures for the Event Services team and monitors their compliance;
  • Supports the Director (Operations) in reporting to the Executive Director, KTSPL and CSTB as required; and
  • Undertakes other duties as may be assigned by the Director (Operations) from time to time.

 

Candidate Requirements

  • At least five years Event Management experience in stadium, arena or related venue is essential;
  • Educated to degree level in a related field is preferred;
  • Minimum three years leadership experience;
  • Exceptional communication skills both verbal and written;
  • Excellent organizational, planning and problem-solving skills;
  • Professional presentation, appearance and work ethics;
  • Ability to work flexible hours, including nights, weekends and holidays, in addition to normal business hours to coincide with events; and
  • Ability to travel.
